The Administrative Support is responsible for supporting department by responding to customers, providing information, supporting select projects and initiatives, and receiving and processing data.
1. Welcomes and directs visitors by greeting them; answers or refers inquiries; gives instructions; schedules appointments or reservations; takes messages.
2. Prepares and produces reports and document by recording and delivering notes in meetings; maintains contact lists, researching, analyzing and summarizing information and trends; coordinates and completes project requirements.
3. Provides office support by receiving, completing, verifying and evaluating information; preparing and distributing mailings; establishing and maintaining file system; producing reports.
4. Prepares and supports processing of invoices, contracts, new vendor requests and expense reports in Jaggaer and Concur systems.
5. Supports sales by pricing and displaying merchandise; explaining merchandise and services to customers; obtaining merchandise selected by customers; preparing merchandise for delivery.
6. Engages with vendor relationships and processes for procuring and ordering supplies and promotional items.
7. Supports logistics for select events including set up, catering, technology preparation and materials.
8. Maintains security by accepting delivery of packages; issuing equipment; monitoring equipment location and return. Upholds a high level of confidentiality and professionalism in handling sensitive information.
9. Maintains safe and clean reception area by complying with procedures; posting informational notices; reporting needed repairs.
10. Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
11. Performs other related duties as assigned.
• High School diploma or GED equivalent.
• 1 year of basic office experience.
• Experience uploading and editing content to basic website tools.
• Microsoft Suite Experience including Word, Excel, etc.
• Basic website and customer relationship management software experience
• Knowledge of basic office techniques.
• Knowledge of basic customer service techniques. Solutions-oriented mindset.
• Skill in Microsoft Outlook, Word, Excel, PowerPoint and complex calendaring. Proficiency using Zoom or other online meeting software.
• Skill in effective written and verbal communications.
• Ability to balance multiple projects simultaneously.

• This role is an on campus, in-person position.
