Job Summary:

The Program Coordinator is a part of the TCU College Advising Corps leadership team. The Program Coordinator facilitates the program objectives by supporting all program staff, coordinating administrative affairs and programs, assisting in adviser training, building collaborative relationships with key stakeholders in all matters related to the College Advising Corps by supporting the director, leadership team and staff in the initiatives of the program.

Duties & Essential Job Functions:

1. Handles program objectives by interpreting and communicating regulations, requirements, and criteria to all program staff; explains guidelines and procedures and advises leadership team on policy and procedure improvements and implementing changes.
2. Plans, analyzes, monitors, reconciles, and prepares budget and financial reports from numerous funding sources; schedules expenditures and authorizes purchases from each account per grant requirements. Communicates with multiple internal departments regarding grant requirements and have knowledge of each specific grant/MOU.
3. Serves as a program representative at meetings and events, on and off campus as required.
4. Coordinates and oversees the day-to-day management of supplies, equipment, and facilities for the program, to include inventory management, logistics, and related activities.
5. Assists the director and leadership team with organizing, scheduling, planning and facilitates meetings and special events; schedules and coordinates dates and times, venues, attendance, agendas, and facilities; takes minutes, and provides administrative support and follow up on matters arising from meetings.
6. Schedules and coordinates travel arrangements and logistics for all program staff during summer training, and coordinates and oversees daily office activities.
7. Assists with, in tandem with Director and program leadership team, the planning of pre- and in-service college adviser training and handling of training logistics
8. Develops and/or shares resources with college advisers
9. Gathers, enters, and/or updates data to maintain departmental records and databases, as appropriate; establishes and maintains files and records for the office.
10. Provides support and coordinates administrative activities to director, leadership team and college advisers
11. Attends college planning workshops and activities as is possible and appropriate.
12. Serves as additional support at college advisors’ assigned high school.
13. Assists advisers with coordination of cluster-based activities as appropriate (e.g., collaborative campus tours, events on campus high schools and the support needed).
14. Ensures timely submission of paperwork by college advisers.
15. Shares with advisers their status on service hours, program support budgets, etc.
16. Develops and maintains collaborative relationships with postsecondary institutions in the region and identify potential for alignment and collaboration.
17. Communicates to the director any potential funding sources in the region of which you become aware.
18. Performs other related duties as assigned.

Required Education & Experience:

• Bachelor's degree and 3 years' experience with finance administration, business administration or higher education administration.
OR
• High School Diploma or GED equivalent and 7 years’ experience with finance administration, business administration or higher education administration.

Preferred Education & Experience:

• Additional experience in budgeting (etc. planning, reconciling and analyzing trends) is preferable.

Required Licensure/Certification/Specialized Training:

• Valid Texas driver’s license.
• Must be insurable under the university motor vehicle requirements.

Preferred Licensure, Certification, and/or Specialized Training:

• Notary in the State of Texas

Knowledge, Skills & Abilities:

• Knowledge of department specific computer software.
• Knoweldge of customer service techniques.
• Knowledge of TCU community, organizational structure and procedures.
• Skill in some or all components of Microsoft Office, including Access Databases.
• Skill in performing problem solving.
• Ability to balance multiple projects simultaneously and meet deadlines.
• Ability to assume administrative functions and make independent decisions regarding daily activities.
• Ability to clearly communicate verbally and in writing.
• Ability to be a productive and cooperative member of a team.
• Ability to maintain professional and technical knowledge by attending education workshops.
• Ability to maintain confidentiality.

Physical Requirements (With or Without Accommodations):

• Visual acuity to read information from computer screens, forms, and other printed materials and information.
• Able to speak (enunciate) clearly in conversation and general communication.
• Hearing ability for verbal communication/conversation/responses via telephone, telephone systems, and face-to-face interactions.
• Manual dexterity for typing, writing, standing and reaching, flexibility, body movement for bending, crouching, walking, kneeling, and prolonged sitting.
• Lifting and moving objects and equipment up to 10 lbs.

Work Environment:

• Work is indoors and sedentary and is subject to schedule changes and/or variable work hours.
• This role is an on campus, in-person position.
• There are no harmful environmental conditions present for this job.
• The noise level in this work environment is usually moderate.
