Job Summary:

The Administrative Support – Part Time is responsible for providing program support by coordinating events and class logistics.

 

Duties & Essential Job Functions:

1. Supports Executive Education programs by assisting with program planning, preparation, participant communication (introductory emails and participant invoices) and materials (course materials, certificates, participant lists, wireless access.)
2. Tracks Open Enrollment program registrations and create weekly status reports.
3. Supports the department with event planning by booking rooms, ordering catering, corresponding with participants, complying with guidelines and regulations. Assists with set up and tear down for classes, events, and catering.
4. Creates program evaluations and prepares reports.
5. Maintains the Executive Education shared calendars.
6. Supports virtual programs by hosting programs, supporting instructors with breakout rooms, and editing video recordings as needed.
7. Supports marketing projects as needed.
8. Coordinates mail and shipping.
9. Maintains inventory for the department supply room and lounge.
10. Performs other related duties as assigned.

 

Required Education & Experience:

• High School diploma or GED equivalent.
• 1 year of basic office experience and/or event planning experience.

 

Preferred Education & Experience:

• Bachelor’s degree

Knowledge, Skills & Abilities:

• Strong customer service skills.
• Knowledge of basic office techniques.
• Knowledge of customer service techniques.
• Ability to communicate both verbally and in writing.
• Ability to work independently as well as in a team environment.
• Skill in the use of Microsoft Office to include Word, Excel and Outlook.
• Skill in effective written and verbal communications.

Physical Requirements (With or Without Accommodations):

• Visual acuity to read information from computer screens, forms and other printed materials and information.
• Able to speak (enunciate) clearly in conversation and general communication.
• Hearing ability for verbal communication/conversation/responses via telephone, telephone systems, and face-to-face interactions.
• Manual dexterity for typing, writing, standing and reaching, flexibility, body movement for bending, crouching, walking, kneeling and prolonged sitting.
• Lifting and moving objects and equipment up to 10 lbs.

 

Work Environment:

• Work is indoors and sedentary and is subject to schedule changes and/or variable work hours.
• There are no harmful environmental conditions present for this job.
• The noise level in this work environment is usually moderate.
• This role is an on-campus, in-person position.
