Job Summary:

The Assistant Director, Admission Programs is a representative of TCU responsible for administering all aspects of on-campus visits for prospective students and their families by managing student-run volunteer programs, and Group/VIP tours. The Assistant Director, Admission Programs also coordinates outreach and special events for various stakeholders such as high school counselors and professional associations.

Duties & Essential Job Functions:

1. Promotes the TCU educational experience for prospective students and their families through consistent, high-quality on-campus visitation events.
2. Maintains up-to-date knowledge of TCU’s academic, spiritual, recreational, social, extra-curricular, and financial aid programs and accurately communicates this information to prospective students and their families.
3. Oversees TCU Ambassadors (campus tour guides) associated with on-campus visits including recruiting, training, scheduling, supervising, and managing all students throughout the school year and summer
4. Manage tour guides for special tours including, but not limited to, Group and VIP Tours
5. Serves as TCU Admission point of contact and coordinator for outreach and special events with various stakeholders including schedule planning, logistics, vendor relations, and community partnerships. Specifically, this position manages programs such as Monday at TCU, Chancellor’s Scholars Experience, and Destination TCU
6. Recruits students by conducting informational interviews; advising prospective students on educational and career decisions. Manages public relations by answering/initiating calls to/from prospective students and families, maintaining rapport with students and families, high school administrators, counselors, teachers and TCU alumni; communicating application status, facilitating student enrollment and providing solutions to enrollment issues for limited target market or schools.
7. Evaluates applicant transcripts and supporting documents; determining the prospective student’s educational needs and the appropriateness of a TCU education associated with limited target market or schools.
8. Conducts daily on-campus information sessions as needed especially during peak travel season.
9. Travels as needed to support and represent TCU at regional recruiting events including college fairs and others.
10. Completes and stays compliant with Campus Security Advisor training for student organization advisors.
11. Facilitates on-campus relationships with multiple offices across campus
12. Maintains up to date records and completes routine reports related to inquiries, recruitment, projections, conversions, volunteer and personal schedule, campus visits, special programs and other data as requested.
13. Monitors expenses by gathering and reporting programming expenses; facilitating and monitoring invoices and purchase orders, scheduling and reconciling expenditures.
14. Transports promotional materials and marketing collateral to and from event locations.
15. Performs other duties as assigned.

Required Education & Experience:

• Bachelor’s Degree
• 3-5 years of professional experience as an admission counselor or working in student affairs and campus life programming

Preferred Education & Experience:

• Master’s Degree or in process of earning; preferably in Student Affairs, Higher Education, or a related field
• Experience in higher education admission, campus tour guide, peer advising or related field
• Experience supervising or advising student staff and programs or student-run organizations
• Experience with event planning or management
• Familiarity with analyzing and interpreting data
• Proficient using and troubleshooting a variety of technology including computer hardware, software, digital projectors, and digital meeting platforms

Required Licensure/Certification/Specialized Training:

• Valid Texas Driver's License.
• Must be insurable under the university motor vehicle requirements.

Preferred Licensure, Certification, and/or Specialized Training:

• Proficiency in Slate or other CRM.
• Proficiency in Microsoft Office Suite and using Zoom or other virtual meeting software.

Knowledge, Skills & Abilities:

• Knowledge of advising, counseling and interpersonal relationship techniques with late adolescents, young adults and parents.
• Knowledge of multi-cultural diversity on TCU campus.
• Knowledge of academic and co-curricular college life and liberal arts and science university programs at a highly selective, competitive institution.
• Skill in strong, independent judgement, initiative and critical thinking skills.
• Ability to use discretion within current policies and procedures; ability to recommend process improvements.
• Ability to demonstrate exceptional presentation skills with diverse audiences ranging in size from 10-100s.
• Ability to demonstrate exceptional customer service skills and ability to interface with diverse populations during stressful situations.
• Ability to stay abreast of advances and effective methods in higher education recruitment approaches, tools, and serves as champion for achieving best-in-class recruitment practices at TCU.

Physical Requirements (With or Without Accommodations):

• Able to travel using all modes of transportation, in some cases within a short timeframe.
• Visual acuity to read information from computer screens, forms and other printed materials and information.
• Able to speak (enunciate) clearly in conversation and general communication.
• Hearing ability for verbal communication/conversation/responses via telephone, telephone systems, and face-to-face interactions.
• Manual dexterity for typing, writing, standing and reaching, flexibility, body movement for bending, crouching, walking, kneeling and prolonged sitting.
• Lifting and moving objects and equipment up to 20 lbs.

Work Environment:

• Work is primarily indoors but not sedentary, and is subject to schedule changes and/or variable work hours.
• Work requires frequent interaction with others.
• There are no harmful environmental conditions present for this job.
• The noise level in this work environment is usually moderate.
• This is an on-campus and in-person role.
