Job Summary:

The Academic Program Specialist for Academic Affairs and Faculty is responsible for providing support for curricular initiatives and policies; serving as the initial point of contact for Brite Academic Affairs; and developing and maintaining student data.

 

Duties & Essential Job Functions:

1. Serves as primary administrative support for the Office of Academic Affairs and Faculty.
2. Maintains and update academic records, databases, and department files, including but not limited to:
• Class schedules, grades, GPA, degree progress reports, unofficial transcripts.
• Class permission numbers, student program/plan maintenance and updates.
• Archiving grade rosters each term and updating when needed.
3. Works directly with students with academic questions, including:
• Responding to student inquiries daily regarding classes and enrollment.
• Supporting domestic and international students by verifying full-time status and navigating institutional processes.
• Monitoring students on extended leave of absence and coordinating reentry through Admissions if needed.
4. Assists faculty with:
• Collecting and proofreading course prospectuses for accuracy before converting to PDF, sending to TCU for textbook orders, and uploading to Brite Schedules each semester.
• Collecting course syllabi by the second week of each term and maintaining organized records for all offered courses.
• Providing class rosters to adjuncts with student contact information.
• Training all incoming adjuncts on D2L access, grade entry, and resolving Koehler Center-related access issues.
• Requesting information on Research Assistants, Teaching Assistants, and Technical Teaching Assistants and providing that information for processing.
5. Conducts course evaluations each semester by uploading tracking spreadsheets into Smart Eval, ensuring timely faculty feedback from students, and organizing results for use in tenure assessments.
6. Assists with procurement of information and book awards required for Spring Celebration, Hooding, and Commencement.
7. Manages public relations by greeting students, visitors, and colleagues in person or on the phone; answering or referring inquiries, providing information and assistance regarding department functions.
8. Provides backup telephone coverage as needed.
9. Orders office and instructional supplies and maintain inventory.
10. Performs other related duties as assigned.

 

Required Education & Experience:

• Bachelor’s degree and 2 plus years of program management experience
OR
• High School Diploma and 6 plus years of program management experience, including academic counseling experience.

Knowledge, Skills & Abilities:

• Basic understanding of Brite Divinity School’s ethos.
• Knowledge of degrees and programs at Brite.
• Knowledge of customer service techniques.
• Knowledge of basic research techniques.
• Skill in the use of Microsoft Office, including Word and Excel.
• Skill in problem solving and communicating resolutions.
• Ability to communicate clearly both orally and in writing.
• Ability to learn department specific computer software.
• Ability to balance multiple projects simultaneously.
• Ability to maintain staff confidence and protect operations by keeping information confidential.
• Ability to evaluate and make recommendations to improve operations.

Physical Requirements (With or Without Accommodations):

• Visual acuity to read information from computer screens, forms and other printed materials and information.
• Able to speak (enunciate) clearly in conversation and general communication.
• Hearing ability for verbal communication/conversation/responses via telephone, telephone systems, and face-to-face interactions.
• Manual dexterity for typing, writing, standing and reaching, flexibility, body movement for bending, crouching, walking, kneeling and prolonged sitting.
• Lifting and moving objects and equipment up to 10 lbs.

 

Work Environment:

• Work is indoors and sedentary and is subject to schedule changes and/or variable work hours.
• This role is an on campus, in-person position.
• There are no harmful environmental conditions present for this job.
• The noise level in this work environment is usually moderate.
