Job Summary:

The Assistant to the Dean is responsible for facilitating College objectives by coordinating administrative operations and leading the College’s administrative staff and programs of the Dean's office.

 

Duties & Essential Job Functions:

1. Facilitates meeting College objectives by ensuring the implementation of a robust administrative infrastructure within the Dean's office, including supervision of staff as specified by Dean; supports the work of College level committees and functions; interprets and communicates regulations, requirements, and criteria to students, staff and faculty; explains guidelines and procedures to faculty, students, students' parents or families, and staff; advises on policy and procedure improvements and implements changes as necessary; works collaboratively with other University offices.
2. Oversees administrative staff (including training, supervision, and performance management) within the College of Fine Arts, coordinating with department heads as needed.
3. Manages College administrative operations and functions by planning, implementing, and overseeing Dean’s office systems, layouts, and equipment procurement; Determines meeting requirements and expedites services; plans, arranges, and implements meeting schedules; and documents and facilitates results of such activities.
4. Monitors and maintains College budgets by gathering and submitting information, scheduling expenditures, reconciling accounts, and authorizing all purchases for the maintenance of faculty and staff operations within the College.
5. Provides oversight of staff and faculty hiring processes and maintains personnel files; maintains promotion and tenure records; approves, computes, and authorizes payroll for adjunct and commissioned faculty as well as staff and student employees; and serves as the College's liaison for compliance with human resources documents, forms, and practices, as well as successful completion of training required of supervisors.
6. Provides coordination and assistance to the Dean, Associate Deans, the Director of Development and Director of Marketing & Communications; coordinates and assists with communication to the College’s Board of Visitors.
7. Completes special projects, including organizing and coordinating information and requirements, coordinates Dean’s Office events and works with the Director of Facilities and Strategic Operations on College events as requested.
8. Performs other related duties as assigned.

 

Required Education & Experience:

• Bachelor's degree or equivalent in appropriate field or other equivalent combination of education, experience or training.
• 3 plus years' experience with higher education administration, teaching or academic programming.

Knowledge, Skills & Abilities:

• Knowledge of academic programming, admissions process, and degree programs as well as university programs and program planning.
• Knowledge of budgeting protocols and best practices.
• Knowledge to establish and maintain databases, electronic archives, shared drives, and other support resources.
• Knowledge of department specific computer software.
• Knowledge of customer service techniques and interpersonal techniques.
• Knowledge of research techniques.
• Skill in Microsoft Office and navigation techniques.
• Skill in the navigation of Microsoft Windows.
• Ability to supervise staff.
• Ability to review and make recommendations to improve and streamline processes.
• Ability to communicate clearly and effectively verbally and in writing to multiple audiences.
• Ability to manage multiple projects, set priorities, and meet deadlines.

Physical Requirements (With or Without Accommodations):

• Visual acuity to read information from computer screens, forms and other printed materials and information.
• Able to speak (enunciate) clearly in conversation and general communication.
• Hearing ability for verbal communication/conversation/responses via telephone, telephone systems, and face-to-face interactions.
• Manual dexterity for typing, writing, standing and reaching, flexibility, body movement for bending, crouching, walking, kneeling and prolonged sitting.
• Lifting and moving objects and equipment up to 10 lbs.

 

Work Environment:

• Work is indoors and sedentary and is subject to schedule changes and/or variable work hours.
• This role is an on campus, in-person position.
• There are no harmful environmental conditions present for this job.
• The noise level in this work environment is usually moderate.
