Job Summary:

The Assistant to the President is responsible for supporting the President of Brite Divinity School and Chief Financial Officer by facilitating daily activities and flow of information.

Duties & Essential Job Functions:

1. Provides support to the President by maintaining relationships with board members; anticipating situations, screening and facilitating actions with visitors, faculty and staff, and mail to conserve the President's time.
2. Manages public relations by greeting customers, constituents and colleagues, in person or on the telephone; answering or referring inquiries, providing information and assistance regarding department functions.
3. Produces information by developing transcribing, formatting, imputing, editing, retrieving, copying, and transmitting text, data, and graphics.
4. Maintains department schedules by keeping calendars for department personnel; arranging meetings, conferences, teleconferences, and travel.
5. Produces programs and events by designing event content, focusing on and expanding theme; arranging for facilities, speakers, services and printed materials.
6. Provides support to the Brite Finance office by assisting with preparations for Board meetings, assisting with keeping minutes at various finance-related meeting, handling routine mail deliveries or other incidental needs, ordering supplies, and otherwise serving to facilitate smooth functioning of the finance office.
7. Documents ongoing activities of the Divinity School and informs constituents and the public by coordinating communications tools including fact sheets; news releases, newsletter, photographs, videos and recordings.
8. Facilitates the daily activities of the office by welcoming and informing visitors to the office; answering or directing inquiries; providing assistance to department staff for projects and scheduled activities; scheduling and setting priorities; preparing correspondence; reviewing invoices, authorizing and processing payments.
9. Performs other related duties as assigned.

Required Education & Experience:

• Associates degree or equivalent in experience.
• 5 years of related experience.

Knowledge, Skills & Abilities:

• Knowledge of customer service techniques.
• Knowledge of bookkeeping and record keeping techniques.
• Knowledge of budgeting process.
• Knowledge of scheduling techniques.
• Knowledge of basic research techniques.
• Knowledge of basic accounting processes.
• Knowledge of department specific computer hardware.
• Skill in the use of some or all components of Microsoft Office.
• Skill in the navigation of Microsoft Windows.
• Ability to asses a situation and take independent action.
• Ability to manage multiple projects and meet deadlines.
• Ability to evaluate and make recommendations to improve operations.
• Ability to clearly communicate information.
• Ability to draft grammatically correct correspondence and concise meeting minutes.

Physical Requirements (With or Without Accommodations):

• Visual acuity to read information from computer screens, forms and other printed materials and information.
• Able to speak (enunciate) clearly in conversation and general communication.
• Hearing ability for verbal communication/conversation/responses via telephone, telephone systems, and face-to-face interactions.
• Manual dexterity for typing, writing, standing and reaching, flexibility, body movement for bending, crouching, walking, kneeling and prolonged sitting.
• Lifting and moving objects and equipment up to 10 lbs.

Work Environment:

• Work is indoors and sedentary and is subject to schedule changes and/or variable work hours.
• There are no harmful environmental conditions present for this job.
• The noise level in this work environment is usually moderate.
• This role is an on campus, in-person position.
