Director of Graduate Admission Systems

Job Summary:

Working collaboratively with TCU schools and colleges, the Director of Graduate Admission Systems will serve as the primary Slate captain responsible for managing all technical processes related to the administration of the graduate instance of Slate; including the management of external interfaces, web development and portal services to assure a smooth work flow, quality customer service, and compliance to federal, state, and institutional regulations. The Director will be expected to have a working knowledge of the best practices in graduate enrollment, including admissions business practices.

 

Duties & Essential Job Functions:

1. Serves as the primary Slate captain for the graduate Slate instance and as the day-to-day systems administrator.
2. Directs operations of the management systems by managing the importing of data files while ensuring the integrity of that data; monitors existing electronic processes; assumes primary responsibility for learning, implementing, and training of new programs as they are developed; maintains security profiles for staff and external users.
3. Stays abreast of updates to CRM, SIS, and other related systems in terms of system upgrades and enhancements by reviewing business process and making recommendations concerning customizations/enhancements to the system.
4. Writes technical specs for customizations and enhancements; coordinates implementation of patches, bundles and critical fixes; and creates and conducts testing scenarios for system updates.
5. Implements plans and strategy initiatives concerning system processes, sustaining an effective applicant workflow as well as user functionality.
6. Works closely with TCU schools/graduate programs to develop and implement operational goals that support departmental and university success.
7. Develops reports with Slate and PeopleSoft; analyzes data utilizing enrollment operations systems and technology to enhance best practices in recruitment and admissions.
8. Maintains Slate CRM as well as the PeopleSoft Admissions module and processes.
9. Performs system configuration, maintenance, enhancement, and quality control processes for online applications, forms, decisions, application review, communication, events, and portals.
10. Coordinates requests from constituent admissions offices to promote and maintain best practices.
11. Designs and delivers training programs for staff or external users on system usage, updates, and best practices.
12. Ensures data integrity of information reported to federal, state and institutional entities, as well as internal and external auditors.
13. Performs other related duties as assigned.

 

Required Education & Experience:

• Bachelor’s Degree.
• 5+ years of experience in the administration of student management systems (ex. Slate, PeopleSoft, Banner, or Oracle) and project management.
• Experience with databases in higher education and emerging technologies (experience can be concurrent).

 

Preferred Education & Experience:

• Bachelors of Science in Computer Information Systems or related Master’s Degree.
• Graduate enrollment experience.

Knowledge, Skills & Abilities:

• Knowledge of customer service processes and techniques.
• Knowledge of emerging technologies in higher education admissions.
• Skill in the use of educational ERP and CRM systems.
• Proficient in the use of Slate, PeopleSoft, or other related products pertaining to reporting and recruiting.
• Proficient in the use of SQL, liquid markup, HMTL/CSS, Javascript, JSON.
• Ability to manage multiple projects and meet deadlines.
• Ability to clearly communicate information.
• Ability to work evenings, weekends as required.

Physical Requirements (With or Without Accommodations):

• Visual acuity to read information from computer screens, forms and other printed materials and information.
• Able to speak (enunciate) clearly in conversation and general communication.
• Hearing ability for verbal communication/conversation/responses via telephone, telephone systems, and face-to-face interactions.
• Manual dexterity for typing, writing, standing and reaching, flexibility, body movement for bending, crouching, walking, kneeling and prolonged sitting.
• Lifting and moving objects and equipment up to 10 lbs.

 

Work Environment:

• Work is indoors and sedentary and is subject to schedule changes and/or variable work hours.
• There are no harmful environmental conditions present for this job.
• The noise level in this work environment is usually moderate.
• This role is an on campus, in-person position.
