Job Summary:

The Program Coordinator oversees non-credit initiatives within Extended Education, encompassing program development and coordination, marketing, registration and database oversight, and various program administrative functions. This role serves as a vital liaison between various departments, ensuring seamless coordination and execution of programs and events.

Duties & Essential Job Functions:

1. Serves as the registrar for assigned non-credit programs to include managing registrations and cancellations.
2. Coordinates event logistics, including venue selection, catering arrangements, and audiovisual requirements, while ensuring effective communication with department staff.
3. Provides primary logistical support to instructors, offering guidance, resources, and training to enhance their teaching experience and ensure program success.
4. Performs regular evaluations and audits on Extended Education related databases, credit card interfaces, and external university systems to maintain security and proper performance. Participates in ongoing training and updates related to database development to stay current with technological advancements.
5. Serves as a liaison between multiple registration database providers and relevant TCU departments, including Information Technology and Financial Services.
6. Manage the processing of invoices, payments, and receivables from vendors and participants.
7. Acts as a departmental point of contact for accounting discrepancies and inquiries from Financial Services and Information Technology.
8. Develops, executes, and evaluates the effectiveness of various marketing strategies to promote departmental programs and events, utilizing various channels such as website management, direct email campaigns, and social media platforms.
9. Processes Continuing Education Units (CEUs) and Certificates of Completion for professional programs.
10. Assists department with program development initiatives as needed.
11. Provides various administrative support as needed such as, but not limited to: ensuring appropriate front-office staffing, overseeing departmental supply needs, and processing forms for various programs.
12. Performs other related duties as assigned.

Required Education & Experience:

• Bachelor’s Degree in Business Administration, Marketing, Communications, Education or a related field and 1 year of experience in program coordination, event planning, or related administrative roles
OR
• 5 years’ experience in program coordination, event planning, or related administrative roles

Knowledge, Skills & Abilities:

• Knowledge of database management and systems integration
• Knowledge of marketing software and concepts
• Knowledge of basic financial accounting processes.
• Skill in designing graphic marketing ads for multiple communication methods
• Skill in major Microsoft Office applications.
• Skill in financial recording keeping, audit processes
• Ability to clearly communicate information and draft grammatically correct correspondence.
• Skill in organization with attention to detail.
• Ability to manage multiple projects and meet deadlines.
• Ability to train facilitators, program leaders and staff on instructional systems and features

• Visual acuity to read information from computer screens, forms and other printed materials and information.
• Able to speak (enunciate) clearly in conversation and general communication.
• Hearing ability for verbal communication/conversation/responses via telephone, telephone systems, and face-to-face interactions.
• Manual dexterity for typing, writing, standing and reaching, flexibility, body movement for bending, crouching, walking, kneeling and prolonged sitting.
• Lifting and moving objects and equipment up to 20 lbs.

Work Environment:

• Work is indoors and sedentary and is subject to schedule changes and/or variable work hours.
• This role is an on campus, in-person position.
• There are no harmful environmental conditions present for this job.
• The noise level in this work environment is usually moderate.
